All of our clinics use WebPT's EMR, billing, and patient outreach solutions. WebPT works for us for our entire patient process, from intake to discharge. WebPT allows us to receive intake forms electronically, which are added directly to a patient's chart, schedule and send reminders out via email/SMS text, document patient treatment and upload other documents, bill claims and patient statements, receive payments and reach out for automatic follow-ups or satisfaction surveys.

WebPT is a well-priced comprehensive solution for physical therapy clinics of small-to-midsize. It could use more support for occupational/speech therapy combined clinics and may not be ideal for large businesses that can afford more directly catered solutions. However, it is a stable and multipurpose platform with a great deal of options for PT/OT/ST clinics nonetheless. It allows you and your staff to completely manage the entire patient process digitally and with a great deal of connectivity between different phases of the patient process. This avoids the inefficiencies of relying on paper documentation and communication issues and saves time with the automation available for scheduling and patient outreach.

WEBPT ESSENTIALLY RUNS THE WHOLE OFFICE - FROM SCHEDULING AND ENTERING PATIENT INFO; TO DOCUMENTATION, HEP, BILLING, AND EVEN SOME MARKETING/PATIENT RELATIONSHIP MANAGEMENT.

WebPT fits perfectly with our outpatient PT practice; it covers all or most of the admin issues that come up. I suspect practice would be a lot more challenging without it. I have limited experience with other EMRs.

We use WebPT as our physical therapy EMR as well as for our patient scheduling tool and for our revenue management cycle. We also use WebPT to process credit card transactions, send invoices for non-insurance based services, and maintain our staff admin and support tasks via the scheduler. WebPT also provides analytics that we use for monthly reports and performance reviews.

The EMR can be used for nearly any PT for any type of patient but you can get caught up in all the drop-down boxes that may not be relevant—these do not show up on the note if not used so skip the ones you don’t need.
The RCM is priceless with the way you bill straight from the EMR and easily apply modifier, time codes, and flag denials/mistakes. I would like to see management of some denials come back to us faster, though as our >180 A/R gets fairly high and corrections/addendums are required in this bucket so far down the road.
The scheduling tool is amazing and very easy to use!

In my role within my organization, I use WebPT mostly for viewing the patient's medical records or eDocs. I also use the calendar within the software and sometimes use the electronic benefit verification and analytic tools. I like the integration between WebPT and Therabill. I also find it very user-friendly especially with the option to batch print multiple records at the same time. It's also nice to be able to send faxes through WebPT. The missing notes report is also a nice function & helps us catch any charges that were not entered for appointments that did occur.

WebPT is well suited for providers with smaller practices, and for patients who have simple cases. The note templates are very easy to follow, but the eDocs can be slightly unorganized if a patient has multiple documents that need to be scanned into their account. The batch print function is great for sending large files to a worker's compensation payer, but it can be glitchy at times. The practices I work with who use WebPT have little to no issues with the software, and working in the billing department, I typically don't encounter many issues either and find that I can complete my job duties easily.

We are a small, outpatient physical therapy clinic that see patients in an office setting. We utilize WebPT as our Electronic Medical Records vendor. We started with WebPT pretty early on- they were a fairly new company when be came onboard with them. At that time, WebPT did not have an all inclusive EMR and billing software. We utilize Kareo for our billing platform. WebPT integrates with Kareo pretty seamlessly. We have had very few issues in the 10+ years we have been with WebPT. It helps us maintain compliance with insurance, especially government entities, like Medicare. WebPT helps to keep us on track with productivity for staff accountability, provides reports for billing, and keeps us compliant with our State Practice Act- it keeps patients scheduled easily with appointment reminders so
  • Calendar Year Medicare Thresholds amounts for Physical Therapy are totaled after the completion of each note- according to the Medicare allowed amounts- this in turn keeps us on track with maintaining Medical Necessity according to Medicare Guidelines.
  • Customer Support is TOP NOTCH! Questions are answered in a timely manner and most often issues are handled within a work day.
  • Patient scheduling is very user friendly- you have the option of using default settings or creating custom settings as required for your clinic/practice.
  • Missing notes are easily and quickly found by running a simple report. When you are a busy facility and see so many patients, it's easy to miss a note, which in turns is missing reimbursement! I love the fact that this can be easily found and rectified!
  • Navigating with fewer clicks- more shortcuts for efficiency would be a welcomed addition.
  • Therapist sometimes complain that notes could be easier to complete by having more drop down boxes so there isn't so much manual entry.
  • Having the ability to receive faxes within the EMR and have the ability to upload to the patients medical records or chart. As of now, WebPT can only fax out.
  • Credit card payments through WebPT utilizes a card reader that IS NOT chip capable. This needs to be updated for extra security.
  • Analytic Reports are not the easiest to utilize. Using the filters for date ranges, columns, etc. is cumbersome, at best.
The Schedule is easy to use and read- appointment reminders help to keep patient cancellations and no shows to a minimum. Maintaining compliance with our insurance companies we are contracted with is very important to me- especially with so many Medicare guidelines. WebPT does an excellent job of keeping us on track. Examples being- yearly Medicare threshold amounts, Medicare certifications, outcome measure tools that almost all insurance companies are requiring, and patient authorization tracking, WebPT is spot on!

We used WebPT as our sole scheduling and EMR system for a large PT practice. This product was used to help with managing patients schedules, plans of care, and communication with the patients referring provider. The aim was to manage a large waitlist seamlessly and make the EMR process as smooth as possible as we are a very niche practice with a high volume of demand as well as a requirement for highly detailed documentation.

  • The pricing is not very flexible
  • The wait list feature is hard to use
  • The integration with their billing system is terrible
  • Keeping track of visits used can be difficult.
  • Multi clinic use can be very clunky and result in miss scheduling patients
WebPT was, initially a great product. They were the first to really specialize in a PT only system that provided some much needed functionality (plans of care, home exercise programs, contacting referring providers directly through the system) but I have felt for a while that they were very much resting on their laurels. One one the biggest features missing was an audit log where you could see who made changes to appointments. The fact that they don’t have this one function was a huge detriment. Not being able to trace a scheduling mistake to then be able to implement further training where needed is one of the factors that prevents me from recommending this system. It’s also quite a lot more expensive than other systems and they refuse to look at any volume pricing for a large clinic such as ours. they are asking a premium for a non premium product.

I am a 15 year user of WebPT including their patient intake, scheduling, EMR, HEP, clinical outcomes, and patient engagement modules. Until recently I was a proud and loyal WebPT consumer. However, my team experienced an extremely high volume of recurrent technical issues during all of 2022 and continued into 2023. We promptly brought these to the attention of WebPT's support team and were frankly not impressed with their communication, technical solutions, or promptness in resolving the issues. When we experienced a clear pattern of the same support issues occurring across multiple different patient accounts we emailed, called, and took Zoom meetings with out "Success Manager". When WebPT still did not address our concerns I took a live in person meeting with a WebPT "Member Success Manager" at the American Physical Therapy Association Combined Sections Meeting to in San Diego to again voice my strong concerns about the poor functionality of the software, related poor support, and negative impact on my clinic finances and morale. Per their request I emailed to re-iterate the same information to the "Success Leader". The subsequent Zoom meeting with the WebPT management was simply the most disappointing experience I have experienced with any vendor in 23 years of clinical practice, 20 years of clinic leadership, and 13 years of private practice. I next attempted to contact Ashley Glover, CEO of WebPT who I met at the Combined Sections Meeting. When I did not receive any communication I felt it was reasonable to reach out to my personal and professional friend Heidi Janega the founder of WebPT and was told Mrs. Golver would be in touch. I have yet to hear from her. During the meetings I described I was told my complaints were not valid and that the support issues were fixed. If the same issue occurs across numerous patient accounts is absolutely not fixed. Rather it is a recurring pattern that negatively impacts patient care, business efficiency, and the work/life balance of our team. It was also clear they had not reviewed the information they mandated I provide prior to the meeting or their own notes on the numerous support issues. I was also told WebPT is not the same company as before and that we may not be a good fit for them. Well, we may finally have a point we agree on. WebPT may now feel they are too big to fail but I can tell you they may be big enough to fail your clinic.

We use WebPT for all of our clinical documentation, billing, and scheduling.
  • Documentation templates are thorough and customizable.
  • Scheduling is intuitive and has integrated client reminder functions.
  • Clinical documentation is tied closely to billing, which helps manage compliance issues.
  • The home exercise program lacks the ability to prescribe or easily store custom exercises. Many of the exercises my staff uses are not included in the library. The process of adding exercises to the library is prohibitively cumbersome.
  • The ability of Therabill staff to address billing problems that involve the clearinghouse is extremely limited. There is no ability for the user to communicate directly with the clearing house to resolve issues. We have had several critical goes unresolved.
  • WebPT's "downtime" seems to be increasing. We have had 4-5 instances of login issues over the past six months.
  • The availability of tech support is inconsistent. Sometimes we are able to reach a representative within minutes, other times it can be 30-40 minutes. This does not meet expectations, given the price point of the software.
  • The user interface with Therabill is cumbersome. Rather than having access to multiple functions from a single client account, the interface requires frequent navigation back to a home screen. For example, entering an insurance payment is done through one function on a home screen. If this payment results in a client balance, managing that bill requires navigating back to the home screen and then accessing a "bill client" button.
WebPT is well suited for day-to-day physical therapy documentation, scheduling, and insurance billing. The learning curve for operating the billing software is fairly steep, requiring a fair amount of training, even for experienced staff.

WebPT is the EHR & Billing platform multiple of our clients use. We provide practice management, auditing and billing services for these practices using this platform.

  • Available reporting options are limited in WebPT, and they cannot be merged reporting with the billing reporting to generate more comprehensive reports for auditing purposes. It would be nice to have the capacity to customize templates between the two platforms to allow for better data management and analytics.
Thus far WebPT has been well suited for all of my PT, OT, ST clients with no complications. Recently one of my clients added on an ABA provider to her practice. These are often joint therapeutic modalities provided to a patient at separate practices, but more and more they are collaborating under one practice, so offering greater capacity to include this modality as functional user in WebPT would be great.

Currently, I support the Office Manager and Office Assistant remotely. Our main problem is keeping track of patients and making sure they are scheduled. We use the lost patient reporting, which is helpful.

I use WebPT for all my medical documentation and patient scheduling! This documentation is very important as it is used to relay information to other health care providers as well as getting sent to insurance companies for reimbursement!
  • Very user-friendly! Colleagues of mine using other EMR companies comment on how much easier WebPT is to use.
  • Provides up-to-date classes and informative articles to stay in touch with the newest technology and issues related to PT.
  • Provides the proper information and data to facilitate insurance reimbursement.
  • Too many ICD-10 coding options-more than are needed.
  • I really like WebPT and it's hard for me to recommend any improvements!
I have been very pleased with WebPT, that's why after 6 years I'm still using them! I have recommended WebPT to numerous colleagues and not one of them has been dissatisfied! The system is easy to use, very thorough, and allows healthcare providers to obtain and provide all the necessary data that insurance companies are looking for in order to get reimbursed... which is critical!

We use WebPT for our scheduling, documentation and customer connection. They have a comprehensive product with additional add-ons available. They have always been a leading source of accurate info and quality service in the industry.
  • We can rest easy knowing that the latest ICD-10 codes are going to be in the system, along with any modifiers that are needed. WebPT won't finalize a note unless it is correctly organized.
  • The scheduling module makes it easier to add a patient's schedule and track it. There are email reminders included with the system so that our patients don't forget their appointments.
  • The new analytics component is a great tool! We can keep an eye on key metrics to catch issues before they get too big.
  • There are many reports you can run to keep things running well!
  • Charges easily flow over from WebPT to our billing software.
  • I do wish that in addition to marking an original document as "AMENDED" when a change is required, they would inset or in some other way highlight any amended text in the final copy.
  • Though it is rare, the system does occasionally go offline. Those times are usually fairly brief. They hardly happened at all the first 7-8 years but there have been a few more issues in the last couple years.
  • When we started with WebPT, we could call and get instant customer service. Now we have to email or leave a message and wait for a reply. The response time is much slower than it used to be.
WebPT does the basics well and has many things you can pay to add. They are trying to have a connected system that addresses all your needs. Chiropractors are now being supported as well. They seem to be growing a bit too fast and are in danger of losing their quality support.

We use WebPT for scheduling, documentation, and HEP. WebPT is the best EMR for us and provides us with unlimited materials to help provide the best experience for our patients. I am a patient client care coordinator and mostly handle scheduleing and payment processing. In this role I have had a very positive experience with the WebPT scheduler and payment systems. It is easy to use and enjoy the ability to manipulate the schedule and appt colors to best complement every service we provide at our facility. As we are a smaller facility the WebPT Billing was not as helpful for us and we do not utilize any longer so this was the only negative to the software we have come by, everything else has been very helpful and beneficial to our company.

As a patient client care coordinator specifically the most beneficial aspect to WebPT I have found is the cusomization of the schedule to best suite all our scheduling needs as well as reporting for productivity, authorization tracking, and missed notes.

  • In my experience, the patient data base search is very limited when searching by name. Very frustrating when looking up someone you know is in, but the name won't come up. It work better with date of birth but this is not the 1st thing that comes to mind when search. Quick searches does not work with WebPT ID, only in Advanced Search, it being an example of extra clicks needed.
  • In my opinion, poor contact management, patients are not in the contact manager, so they need to be added if you want to email or fax them info from there EMR...
  • Limited details when searching a physician's info and referral history, there is a list of referral but no date range of when each one was last seen...

I work for a billing company that specializes in Outpatient Physical, Occupational, and Speech Therapy. I'm able to access all of our clients' practices using one WebPT login, which makes changing practices easy. WebPT is user friendly and not overly complicated. The reports offer multiple ways to generate them, and all are exportable to an excel spreadsheet.

  • Dashboard provides a lot of useful information to run your practice.
  • System is user friendly and easy to navigate.
  • WebPT doesn't keep have a way to track a user's activity. If you find registration errors within a patients chart you are unable to see which user registered the patient.
  • Sometimes the support team isn't able to assist with an issue and it is moved to the tier two team, who is supposed to send an update regarding the issue but a lot of times you don't receive an update or have to ask what the status is.
If you are an owner of a Therapy Office in Private Practice WebPT is a great inexpensive software that will allow you to complete your documentation. WebPT is also integrated with several different billing software's.

We use WebPT as our EMNR at 4 of our outpatient practices, we see patients for physical, occupational, and speech therapy. WebPT is easy to use and navigate. I think that customer service is hit or miss; you either get someone who is helpful and can direct you in the right direction or you get someone uninterested in helping and will send you an article to read (oftentimes not on the subject you are asking help with). I also have noticed more glitches, freezing/reminders not working, unable to add patients/providers. New additions are added regularly but at an additional cost. Overall, very user-friendly and easy for practitioners to use.

Perfectly used in a small outpatient setting. Significant help with scheduling and management of patient caseload. The most beneficial feature is compliance tracking. WebPT also provides reminders to patients which helps with attendance and overall revenue, although at an additional cost. WebPT streamlines and helps to organize patient and clinic information in an easy-to-use format.

We use Web PT for our professional notes (EMR), Therabill for our billing through our billing company, EBv (insurance verification), REACH to provide articles and correspondence with our clients and Home Exercise Program through Strive Hub (part of Web PT) for our clients to view photos and videos of exercises we give them for Home exercises between appointments. Web PT also provides many webinars that we participate in. It is a very professionally run company and they provide excellent "chat" when we do have a problem and have always been quick to find a solution to the problem. If something does go down they consistently fix it in a short period of time. I have been extremely happy with WebPT and highly recommend them. It is run by therapists so they know exactly what is needed by insurances and note writing

At Community Care Physical Therapy, our entire team uses WebPT for all aspects of our business for Occupational/Hand therapy and Physical Therapy. We use it for patient care, scheduling, patient intakes, patient appointment reminders, patient case management reports, benefit checks, patient communication, EMR, HEP, billing software, and account management. It is the only software we need to run our business for the patient care side.

I love that WebPT systems are easily integrated and have we the option of using them or canceling them as our business grows and changes. WebPT has been simple to use, and the onboarding team was wonderful and flexible. As a newer small business, WebPT has been an invaluable part of getting our business off the ground. We are over 1 year into our business, and it is still meeting all of our needs. I have used several other EMR systems, and they are much more difficult to use.

We use WebPT as our EMR and our Billing System. I use the clerical portion as well as the billing portion of the system.

I believe WebPT is very user-friendly, there are many steps to take to accomplish what we need sometimes. For clerical and clinical, the system is user-friendly. When things go wrong, they are not user-friendly to correct. The correction, even if a system issue, falls on the user to correct. Regarding Billing, the work done is good as long as not too time consuming. If the follow-up is time consuming the tendency is to pass back to us to work. And the zero paid remits are not worked in a timely manner. There is room for improvement in this area.

WebPT is used to keep track of our patients/lawyers/doctors/insurance. I use WebPT most to check our patients and referrals. I add new patients and also do monthly reports with the analytics tool from WebPT. It is very helpful to see how many referrals we get each month, and I can search through different types of cases and referrals source. I also like the way that I can keep track of patients that were discharged and the number of currently active patients.

WebPT is a great platform for therapists and other employees. Our therapists can easily add notes internally and externally! For other employees like me, that need to analyze data from new referrals it is very easy to go through the tabs and search for specific scenarios and cases. The platform is very clean and easy to use, just needs to be a little faster when switching tabs and downloading some reports.

We use WebPT every day to schedule patients and record their visits and other relevant medical histories; we use it for payments and keeping track of their payment history, and we run different reports to help us learn what our efficiency and productivity are like at different times of the year. WebPT helps keep everything in one system rather than having multiple systems.

  • Not very many report parameters that we can edit when we need certain reports--NextGen makes it possible to create any reports with any parameters.
  • Search functions don't always work but never give a detailed error on what's missing or incorrect.
  • Can't delete or combine duplicate profiles.
  • Faxes don't always work, but there's no specific error message for it; when contacting WebPT support over chat or email, they couldn't help at all or would not even respond the entire time.
  • Waitlist system is always cutting in and out and affects our workflow
  • Reminders are sent randomly, and it's hard to let patients know when they'll get theirs. Sometimes they are sent and sometimes they are not. Sometimes they are sent twice from two different phone numbers (text reminders).
  • Reach doesn't function smoothly; it'll work for some patients and not others; they told us the intake will be sent automatically, but half the time, they are not sent, even if the patient was scheduled a month in advance; it's supposed to automatically upload into the EMR, but it doesn't get uploaded sometimes; supposed to automatically transfer demographic info from EMR to Reach, but doesn't; the Reach icon doesn't show up on WebPT main page like it's supposed to; Reach support has not been able to answer as many questions as we have; the online documents/videos don't always match the layout of the program, so it's harder to follow.
  • Uploading to edocs can be annoying as well; sometimes, it says the file is too big when it's not; then we would have to refresh the page a few times until it works.
  • After payments, when receipts are selected to be emailed to the patient, they don't receive them. There's no way for us to see if it's been sent or what has been sent.
Most of the day-to-day functions are user-friendly and easy to use, like scheduling patients. When you have to do more complicated reports or functions, it's not always working or not the exact report that you are looking for. For the automated functions, like the reminders and Reach intake, it doesn't function the same every time, so it's hard to let the patients know when they'll get something. For the functions like emailing a receipt or faxing, those do not always work either, and there's no specific reason why. For WebPT support, they have been quick and helpful when it comes to moving notes from case to case. All other questions we have asked so far have not been answered sufficiently or at all. There have been times when they ended the chat right in the middle.
